Any time you rent a vehicle
for longer than 14 days, it is considered a long-term
rental (previously called a Full-Time assignment).
The typical long-term rental periods are Fall & Spring semesters and one year,
but in certain circumstances vehicles may be rented
for shorter periods of time. Contact Fleet Operations

To request a long-term rental, you must complete
a Long-Term Vehicle Assignment Request form available online or call Fleet Operations (814-865-7571) for assistance. The completed and signed form is to be mailed to Room 1, Fleet Operations Building, University Park, PA 16802.
Written justification and Fleet approval are required
to initiate a long-term rental. Long-term rentals
are under constant review and may be recalled by
Fleet if it is determined that the rental is no
longer justified.
Policies
Individuals assigned vehicles on a long-term basis
are not authorized to use them to travel to and
from home or to park them in a home garage. Members
of a University employee’s family are not
authorized to drive Fleet vehicles independently and may act only as a relief driver, and Fleet vehicles
are not to be used for shopping or for other personal
errands. Anyone violating these guidelines may
be denied future vehicle use and may be subject
to disciplinary action.
Maintenance
Fleet vehicles are serviced and maintained on a
regularly scheduled basis. All vehicles assigned
for an extended period must be returned to Fleet
Operations for routine service a minimum of twice
a year, preferably in the spring and fall. Vehicles
in need of nonroutine service or repair should be
returned to Fleet Operations at University Park
as soon as possible. Vehicles located at Commonwealth campus' or remote locations need to call 814-865-7572 and arrange for off sight maintainance or repairs.
Billing
Departments with vehicles assigned on a long-term
basis will be billed directly by Fleet Operations
each month (rather than via IDCC). For proper billing,
submit monthly mileage readings by the second of
the following month. Failure to do so may result
in penalty charges and/or loss of the use of the
vehicle.
Requests made for a time period of 15 days to one month will be charged a minimum of a one month fee. Charges are still initiated on the pick up date indicated by the requestor even if the vehicle is not picked up when requested..
Vehicle Usage Log
Vehicles assigned on a long-term basis must have
a log available in order to record the various drivers,
